SASCA Meeting Notes 11/16/11

Introductions - a few new faces in the crowd tonight!  Thanks for coming out!

Novice Trophies - 31 novices, one of the larger novice groups this year!  Let's keep them coming out and moving on up into regular classes.

Old Business:
-past event...what a mess the lot was from the CCM.  Thanks to all that helped get the lot ready real quick for the event.  Tom Conklin designed the course, some fun high speed sections, multi-line turns, 3 heats, still got out at a decent time.
-Retama likes us and wants to keep up our good relationship.  Please make sure that everyone continues to respect Retama when there & make sure your visitors know this as well.

2011 Year End Party
Clear Springs Cafe was a great venue last year, agreed to go back there.  Ricky will co-ordinate the event there for a Saturday night in January.  Will be announced when definite date has been set.

Blossom - Do we continue to utilize?  It is a more expensive lot (venue) and a little distant for more than just us.  Makes trailer transport a hassle, and Austin folks like the closer location to them (Retama).  Open discussion in regards to if we want to utilize their lot.   We get more visibility at Blossom, more shade...lot variations give a little more challenge to the course.    What to do!?!?

Possible summer event plans - split or swap months with SPOKES hosting the events to help alleviate severe heat.  This is still in discussion with SPOKES. 

Proposed schedule for 2012 will be at the next meeting in December for us to discuss.  Currently working around SPOKES, SCCA divisional, and SCCA National events.

Special events for 2012 - Novice school was a great event, instructors & students learned a tremendous amount.  We'll plan on hosting another Novice School in March (subject to change) of next year.

Explore options for getting an air card to keep live data uploads at the events.

Upcoming Events:
-SPOKES @ SAR on 12/4
-SASCA @ Retama on 12/11

Open discussions - need to clean, inventory, and inspect the trailer.  Suggested that we make it a test n tune, tech inspection, and trailer-cleaning day.  Possibly a day prior to the January event?  Chris Leclair will look into organizing a cruise three sisters cruise.

Have we asked anyone at Retama if they have a place we could store our trailer there?

I can handle owning the equipment, just not the logistics of the trailer.  If the two can be seperated I nominate myself as equipment manager.

I heard a volunteer for the 5th BOD, so let's get a name to it.

Jason is a good fit for newbie orientation.

Per the WiFi, if I am equipment manager we can utilize my hotspot for uploading real time data.

Per trainees of the timing board and software, those jobs should be more exclusive.  We only want to train those who make a regular appearance.  We should approach James Erick-Ferguson and ask if he's interested.

In my humble opinion the last course was my favorite to date.  We should all encourage Tom to draw us up some more.

Finally we also know Todd Roberts is in fact not a huge fan of Shipleys Donuts.

We should adapt the Shipley's Donuts theme to our Tee-shirt design. Thee's a really funny joke involving a Teal Miata and a Monte Cristo sandwich but it would take way too long to explain it.

Like all positions, you don't have to do all of the tasks yourself.  Trailer towing is a job that is best spread out among as many people as possible. 

The equipment person should try to expand the towing pool and show them what it entails.  From there it could be handled like any other worker position - by signing up for it on AXWare.  So administratively, the Worker Chief is involved too.

The trailer is only a mile down the road from Retama.  It is an easy access and secure location.

Don't let the trailer towing issue dissuade you from taking the position.  There are plenty of people around to support you.

There is a 50% chance that I'll be towing at the next event.  Whoever tows, come along to pick up the trailer.  We'll talk before the event.

Has a date been set for the annual tech?

Annual Tech will be available at any Test 'n Tune (if one is scheduled), the SASCA year end party, SASCA General Membership meetings, and if time allows, at the January autocross. I am waiting for other club activities ( trailer clean up day, test 'n tune, novice school, Hill Country Cruise, etc. ) to be scheduled before I schedule an Annual Tech party. I will also be available at the January Coffee 'n Rides. I am currently writing up a set of guidelines to aid in the Annual Tech process and have scheduled a meeting with the BoD to seek input and approval. I will post a more complete schedule and guidelines list soon. Generally speking, if you see me, feel free to interupt any "war stories" session and I'll do an Annual Tech for you. You are also welcome to come by my home, in Kyle, for Annual Tech (with a little notice).

If you have a 2011 SASCA or SPOKES Annual Tech sticker, it will be honored for the January SASCA autocross.
