SASCA February monthly Meeting Minutes

> Ed Harloe-VP Called meeting to order at 7:35 PM

> OLD BUSINESS:
> 1) 5 new helmets were purchased by club for loaners at events,
> Another helmet donated, free autocross to Robert Yuras at next event
> 2) Annual Tech party was very successful. Everyone in
> attendance received a sticker on membership card to designate self tech at
> all events. All others must have tech initials from event to register.
> There will be other opportunities to learn how to self tech at next
events.
> Ed reviewed information from TECH PARTY and important safety issues with
> self tech.
> 3) Awards banquet was a great success. All trophies were given
> out except to Day Gore, given now for class and PAX winnings. Photos are
on
> website from banquet. Look under Richard Watson's photo album.
> 4) Rally for Feb 7th was approved and is scheduled for FEB 7th.
> Volunteer team will be meeting tonight for last minute details.

> NEW BUSINESS:
> 1) Motion to vote approval for all ALAMODOMW dates as proposed:
> March 21st , April 25th , May 16th , June 6th, July 18th, August 15th, Oct
> 17th, Nov 14th & 21st, Dec 5th & 12th - seconded and Approved b y
majority.
> 2) Motions to approve Feb 15tgh "trial" event at San Antonio
> raceway, BOD recommends approval at Increased rate of $1000/event.
> Discussion regarding contract and concerns regarding lot damage, motion
> seconded and approved by majority. Decision to use SAR for "Trial" then
> discuss pros and cons at MARCH meeting.
> 3) Group discussion on size of SAR and is size big enough for
> DIVISIONAL event? Consensus says NO. 200 cars too much for SAR.
> 4) Discussion on types of events we might hold at Windsor Park
> Mall. Must keep small, Cost is less and may be only money maker. Laura
> announced idea to limit registration to on-line registrants only, then
> motion to limit WPM event to 40 registrants. If less than 40 from online
> registration then use on site registration until number reached 40 total.
> This will mean some people may get bumped to another event. Motion
seconded

> 5) Can SASCA serve as "broker" for other clubs to race.
> Discussion regarding pros and cons, motion to deny other clubs use of our
> lots under our insurance and staffing-seconded and approved. Solution:
> motion made to refer all other clubs to a "guest" class at our events. It
> could be possible for other clubs to enter this "guest" class and keep
there
> own times and/or teams to present trophies to.
> 6) STICKERS; Kevin has received a quote for sticker printing -
> total fee for 1000 stickers is $630, this is the volumn that will work out
> to less than $1.00 cost for SASCA. Discussion occurred regarding need for
> that many stickers and if club has monies for this purchase. Motion made
to
> wait until later months to by stickers at this price, as we no longer have
> extra dollars to spend until we start having events, motion seconded and
> approved.
> OPEN FORUM:
> 1) Timing light - Where do we stand? Ed was to get recent
> quote for display board and what happened to the FM transmitter idea?. Ed
> will post prices and options on forum and for next meeting.
> 2) Family membership amount was deleted from rules for some
> reason. Motion made to charge 40% of member price, motion seconded to
make
> Family Membership at $35, seconded and approved by majority.
> 3) Actively recruiting new meeting place, suggestions made for
> Beefy BBQ or Mouses, motion made for next meeting to occur at Beefy BBQ as
a
> trial. Seconded and approved by majority. Jan will notify them of one
time
> meeting place in March.
> 4) Ed proposed a rule change regarding noise restrictions.
> Discussion on how to monitor this...subjective vs objective. Motion to
> change rules to say: " any 2 BOD or event masters may refuse a car to run
> based on noise". Motion for approval, seconded and approved by majority.
> Discussion regarding if this will suffice for rules if we ever hold events
> somewhere that this may be a concern. Will table a more detailed rule
> change until that time.
> 5) RALLY Volunteers to meet after meeting
